General Annual Fire Safety Inspections

Annual fire safety inspections are a proactive way to identify risks before they become violations or emergencies. Beyond code compliance, these inspections help protect occupants, reduce liability, and demonstrate that a building is being actively managed with safety in mind. A thorough annual inspection also makes future audits, insurance reviews, and FDNY visits far easier to navigate.

New York Fire Consultants conducts comprehensive annual fire safety inspections focused on life safety, system performance, and code compliance. Our inspections are practical, detail-oriented, and aligned with current NYC Fire Code and FDNY expectations.

General annual fire safety inspections

  • Life safety and egress: Exits must be clearly marked, illuminated, and unobstructed. Doors must open easily, and fire doors must never be wedged open.
  • Fire suppression systems: Sprinkler systems, standpipes, and fire pumps are reviewed for required annual testing, proper pressure, and overall functionality.
  • Fire extinguishers: Portable extinguishers must be inspected annually, properly tagged, accessible, and in good working order.
  • Fire alarms: Panels, detectors, and pull stations are checked to confirm proper operation and testing status.
  • Electrical hazards: Inspectors look for daisy-chained power strips, overloaded circuits, improper extension cord use, and other common violations.
  • Housekeeping: Combustible materials must be stored clear of sprinkler heads (minimum 18 inches), and trash must be properly contained and removed.

Compliance and procedures

  • Documentation: Owners are required to maintain records showing that fire protection systems are inspected, tested, and serviced by qualified professionals.
  • Violations: Failure to meet fire code standards can result in citations, monetary fines, or, in severe cases, partial or full building closure.

Common inspection items checklist

  • Fire extinguishers are visible, accessible, and properly mounted.
  • Exit signs are illuminated and emergency lighting is operational.
  • Exit paths and stairwells are clear and unobstructed.
  • Fire protection systems display valid and current inspection tags.
  • Electrical panels maintain at least 30 inches of clear working space.
  • No combustible decorations or materials cover walls or ceilings.

Door Inspections for Hospitals

Annual Fire-Rated Door Inspections (Hospitals, Nursing Homes, and Healthcare Facilities)

Annual inspection of hospital fire-rated doors, mandated by CMS and NFPA 80 (2010 edition), supports compliance, life safety, and operational readiness. Inspections typically address door and frame integrity, labeling, clearance gaps, and self-closing and latching hardware. A “qualified person” must perform these inspections, which are critical to preventing the spread of fire and smoke.

Key inspection requirements and criteria

  • Frequency: Annual inspections are required for all fire-rated door assemblies.
  • Inspector qualification: Inspections must be conducted by a “qualified person.”
  • Documentation: Detailed reports should be maintained for surveyors (for example, Joint Commission and ACHC).

Core inspection points (NFPA 80)

  • No holes or breaks: No open holes or breaks in the door or frame.
  • Clearances: Verify clearance gaps are within allowable limits (bottom, top, and sides).
  • Hardware: Hinges, latches, and closers must be secure, aligned, and functioning properly.
  • Self-closing and latching: Doors must fully close and latch on their own.
  • Labeling: Fire labels must be present and legible.
  • Glazing: Vision light frames and glazing must be secure.
  • No prohibited field modifications: No unapproved modifications (for example, taping over latches or defeating hardware).

Areas of focus

  • Hazardous rooms: Storage rooms (often over 50–100 sq ft) may require 3/4-hour fire-rated doors.
  • Corridor and patient care doors: Focus on functionality, closing, latching, and smoke resistance.
  • Pairs of doors: Verify proper closing sequence, coordinators, and latch engagement.

Common failure points

  • Improperly installed or damaged door closers.
  • Blocked door frames or wedged-open doors.
  • Incorrect gaps or clearance issues.

Typical cost: Third-party inspection pricing is typically quoted per opening and varies based on door count, facility type, labeling requirements, and site logistics.
